ELLEN EVENT RSVP

Privacy Policy

Effective October 8, 2026

Ellen Event RSVP is the Ellen Lighting event website for Krewe of the Q at the GHBA BBQ Cookoff. This policy describes information handled by this event website and its organizer tools.

Information collected

When you RSVP, the website records your name, email address, company or team, attendee category, attendance response, party size, and additional guest names. The organizer can also record check-in status. Earlier versions of the form also offered an optional notes field; previously submitted notes may remain in the organizer’s records. Provide other guests’ information only with their permission.

The organizer may also import the names, email addresses, and companies of people invited to the event. The app compares invited email addresses with RSVP records to track responses and identify invitees who have not responded. Importing an invite list does not send email or track email opens.

How information is used

RSVP information is used to plan attendance, food and event arrangements, manage check-in, send RSVP confirmations, and handle event-related questions or updates. Submitting an RSVP does not subscribe you to an unrelated marketing list. The attendee list is not displayed publicly on the website.

The organizer’s Google connection

Guests do not need to connect a Google account to RSVP. Only the organizer connects the designated Ellen Lighting Events Gmail account. With the organizer’s authorization, the app checks the Google account’s email identity and uses Gmail’s send permission to send RSVP confirmations. The app does not request permission to read the inbox, contacts, or unrelated email messages.

The app uses authorization tokens to maintain this connection and stores the refresh token encrypted on the server. It also stores the confirmation recipient, message content, sending status, and attempt timestamps so the organizer can track confirmations and retry failed messages. Google processes outgoing messages, and sent messages may remain in the connected Gmail account.

Ellen Event RSVP’s use and transfer of information received from Google APIs adheres to the Google API Services User Data Policy, including its Limited Use requirements, and the Google Workspace API User Data and Developer Policy. Google user data is used only to provide this email functionality; it is not sold, used for advertising, or used to develop, improve, or train generalized AI or machine-learning models.

Service providers and access

The authorized event organizer can view and export RSVP information. The website runs on ChatGPT Sites with Cloudflare hosting and storage; Gmail provides confirmation email delivery. These providers process information needed to operate their services. Recipient mail providers also process delivered messages. Website hosting providers may process technical information such as IP addresses and request logs for operation and security. Google Fonts supplies the website’s fonts and receives the network requests needed to load them.

The app does not include advertising trackers or sell RSVP information. Information may also be disclosed when required by applicable law. Links to maps or other external websites are subject to those services’ own privacy practices.

Storage, cookies, and retention

Invitation lists, RSVP records, and confirmation history remain stored until removed by the organizer; the website does not currently apply an automatic deletion schedule. Exported copies and sent emails are managed separately by the organizer. Necessary sign-in cookies support organizer access, and a short-lived security cookie protects the Google connection process. The app does not add advertising cookies.

Organizer access is restricted, and the Google refresh token is encrypted. No online service can guarantee absolute security.

Your choices and requests

To request access to, correction of, or deletion of your RSVP information and associated confirmation records, email events@ellenlighting.com. Include the email address used for your RSVP so the organizer can locate your record and verify the request. You can also ask the organizer to stop further event emails. Information may need to be retained where required by law; deleting a website record does not recall an email already delivered.

The organizer can revoke the app’s Google access through Google Account connections and request removal of the stored connection credentials. Revoking access stops future Gmail sending through that authorization; it does not delete previously sent messages or RSVP records.

Changes and contact

Updates to this policy will be posted on this page with a revised effective date. For privacy questions, contact Ellen Lighting’s event team at events@ellenlighting.com.
